The Role


This role is responsible for leading the administrative function at the Mt Holland mine site, servicing the needs of the Operations Managers and other support function senior leaders at site.


The role will report directly to the GM Operations and provide key executive assistant support to the GM.  This will include preparing internal communications and correspondence, coordinating business and operational meetings, organising social events (including venues, facilities, and catering), and assisting with VIP visits and activities.


In addition, the role supports the mobilisation and demobilisation of Covalent Lithium staff and contractor personnel travelling to and from the Mt Holland mine site.


The incumbent will manage and lead a small team of administrators to deliver the support to the site.


This is a Permanent full-time position fifo ex Perth to our Mt Holland site on a 4:3 roster.


Key Responsibilities 


•    Manage and maintain GMs diary and organise meetings, scheduling and managing changes where required.
•    Liaising with Operational and Corporate employees, contractors, visitors and others on behalf of the GM.
•    Planning of meetings and social functions on and offsite for the Senior Leadership team.
•    Administering the contracts for activities related to managing the offices, equipment and admin facilities.
•    Liaise and work directly with the flight contractor (e.g. Aerlink) to effectively manage and communicate the flights in and out of site. 
•    Work closely with Perth travel admin to ensure smooth operation of flights and accommodation management for employees, contractors and visitors.
•    Work with Coordinator Facilities in managing accommodation for operational needs and ongoing facilities management.
•    Create and maintain work and annual leave rosters for the management team.
•    Effective liaison with corporate staff on issues relating to payroll, expense claims, accounts, HR and other administrative activities.
•    Coordinating the collation, typing and distribution of daily, weekly and monthly reports
•    Reception and mail administration activities.
•    Managing stationery and consumables for office equipment.
•    Ordering and issuing of PPE for employees.
•    Manage SAP purchasing & receipting as required.
•    Maintain and manage the records management system for the Mine site ensuring efficient recording, storage and retrieval mechanisms.
•    Create the right work environment for the administration team to succeed.
•    Manage the performance and development of the site admin team members
•    Conduct annual performance reviews within the administration team in conjunction with the department manager.

 

Role Requirements

•    Certificate IV in Business Administration or equivalent
•    A minimum of 5 years’ experience in a similar role, ideally on a FIFO site.
•    Experience in logistic management of a FIFO workforce.
•    Excellent knowledge of MS Office products such as Excel, Word, Power point and Outlook.
•    Excellent knowledge of SAP.  Knowledge of the INX suite of Inflight, In-Control and Intuition will be considered advantageous.
•    A valid C Class Manual Drivers License
•    Current Senior First Aid Certificate (desirable).
