The Role


12-Month Maternity Leave Contract


This position is responsible for providing strategic leadership and guidance to the Document Control team while delivering comprehensive technical support to Mt Holland Operations, Kwinana Operations, and Corporate Teams.


You will ensure seamless document management processes and contribute to the ongoing efficiency and success of Covalent’s operations.


This is a Full-time fixed term contract based at our Kwinana Office

 

 

Key Responsibilities 


Technical Support and Document Control: 


•    Fit-for-Purpose Document Management Solution: Collaborate with operational and corporate teams to ensure document management solutions are aligned with company objectives and effectively meet operational needs.
•    Document Control Management Plan and Process Input: Contribute to the development and ongoing refinement of Covalent’s Document Control Management Plan and processes, ensuring controlled documents are managed in compliance with regulatory, operational, and business requirements.
   Workload Management and Resource Allocation: Plan, forecast, and manage document control activities to ensure a seamless experience for end users, particularly across mining projects and operations.
•    System Onboarding and User Support: Support the Document Control team in onboarding new personnel to Covalent’s document management system, ensuring tailored training and ongoing support are provided for smooth adoption and effective system use.
•    Vendor Collaboration: Collaborate with external vendors and service providers to ensure document management systems are operating efficiently. Lead efforts to implement necessary system customizations and enhancements to align with evolving business requirements and operational needs.
•    Knowledge Management Strategy: Assist in developing Covalent’s long-term knowledge management strategy, ensuring that appropriate systems and processes are implemented for capturing and retaining critical operational knowledge.
Leadership and Team
•    Providing Visible Leadership to the Document Control Team: Lead by example, demonstrating Covalent’s core values of Care, Purpose, Collaboration, and Accountability to inspire and guide the administration and document control teams toward achieving operational efficiency.
•    Team Culture and Engagement: Foster a positive and collaborative team culture focused on engaging people and delivering results, working with the team to develop strong, high-performing relationships that drive success across the business.
•    Training and Development: Provide leadership, guidance, and training to the Document Control team, ensuring high performance, accountability, and alignment with company objectives. Promote continuous learning and skill development within the team.
Performance and Accountability: Ensure the team operates with a high level of accountability and is aligned with Covalent’s broader business goals. Provide support to team members to ensure that they meet expectations and contribute to the success of projects.


Role Requirements


•    Tertiary qualification in Business Administration, Records & Information Management, or a related field (preferred but not required), or Document Control certification (e.g., Certificate III in Business (Records & Information Management)).
•    Proficiency in Document Management Systems. Experience with existing systems, TeamBinder and M-Files, is desirable but not mandatory .
•    Minimum of 5 years' experience in Document Control and Project Administration: Proven track record in managing complex administrative and document control functions, with a focus on operational efficiency and process improvement.
•    Proficiency in Document Management Systems: Solid working knowledge of leading document management systems with a focus on efficient document handling, version control, and system optimizations.
•    Advanced Proficiency in Microsoft Office Suite & Adobe: Proficient in SharePoint, Excel, PowerPoint, and Word, with the ability to leverage these tools to streamline document management, reporting, and communication. Strong working knowledge of Adobe for document creation and editing
